GoHighLevel setup checklist for businesses and agencies
By Wit Media · October 20, 2026
A CRM setup should make the next action clear for your team. Start with what should happen when a lead arrives, then build the pipeline, calendar and follow-up around that process. Installing a template is only one part of the work.
Map the customer journey first
Write down the steps from a new inquiry to a sale and onboarding. Give each stage a plain name your team understands. Decide who owns the lead, what moves it forward and what should happen when it goes quiet.
For an agency, do this separately for your own sales process and for each client’s delivery needs. A shared starting template can save work, but the offer, qualification questions, staff and booking rules still need checking.
Prepare the inputs before the build
Collect the items needed to configure the account correctly. Share access through the platform’s permission controls rather than sending passwords.
- The offer, ideal customer and qualification questions.
- The landing page or form and the fields it must collect.
- The people responsible for new leads and follow-up.
- Calendar availability, meeting type, timezone and rescheduling rules.
- Approved follow-up wording and how communication preferences are handled.
- The payment and onboarding steps your team uses after a sale.
Build follow-up around real events
Map each workflow to a specific event: a form submission, appointment booking, cancellation, missed appointment or completed sale. For every workflow, define its trigger, owner, message and stopping condition.
Check that a lead who replies or books does not continue receiving a sequence that asks them to do the same thing. Make manual follow-up visible too, so automation and staff do not work against each other.
Test the complete journey
Use clearly labeled test contacts to check the path from the original form to the right pipeline stage and team member. Try a new lead, a repeat submission, a booking, a cancellation and a reply.
Review timezones and calendar availability with the person who will take the calls. Check links and messages on a phone. Confirm that replies and failed steps are visible to someone who can act on them.
Agree the handoff and ongoing support
Before a setup is considered complete, ask for a walkthrough of the pipeline and workflows, the account permissions you need, and a list of any remaining dependencies. Decide who owns future edits and how the team reports a problem.
Software subscriptions, messaging usage, phone numbers and other third-party charges are separate items to confirm. Wit Media can help scope the CRM and automation work for your business or client accounts; start with the process you need working.
